Terms & Conditions

1. Booking Confirmation

• No booking is confirmed until written notification is provided by Treklodge acknowledging receipt of a 50% deposit.

• The remaining 50% is due no later than 14 days prior to the event. Late payments may result in cancellation.

2. Site Preparation & Access

• The client is responsible for ensuring the setup site is clean, level, and suitable for tent installation.

• If the site is not adequately prepared, a preparation fee will be charged by Treklodge.

• Truck access to the setup site is required. If our team is unable to reach the setup area with the truck, the full booking fee will still apply.

3. Guest Conduct & Tent Care

The client must ensure all guests adhere to the following rules:

• No smoking, eating, or drinking inside the tents.

• No heavy objects (e.g., bicycles, suitcases) may be placed inside or leaned against tents.

• Tent contents (e.g., beds, décor, furniture) must remain inside the tent at all times.

• All tent furnishings and structures must be treated with care and respect.

• The client will be held financially responsible for any loss or damage to tents and contents. This includes:

  • Irreversible stains (e.g., red wine, ink, blood)

  • Missing items

• Excessively dirty tents or any evidence of food, beverages, or smoking inside will incur a R400 cleaning fee per tent.

4. Liability

• Treklodge does not accept responsibility for:

  • Loss, theft, or damage to personal items

  • Injury or death of any persons

  • Damage to vehicles or belongings

  • This disclaimer applies even in the case of negligence on Treklodge’s part.

• Clients are advised to arrange their own insurance where necessary.

5. Check-In & Check-Out

• Check-in: From 2:00 PM

• Check-out: By 10:00 AM (unless otherwise arranged in writing)

• Late check-outs will incur an additional full day’s booking fee, unless prior written agreement is made with Treklodge.

6. Weather Conditions & Force Majeure

• In the event of extreme weather conditions (e.g., winds exceeding 45km/h, heavy rain), Treklodge reserves the right to:

  • Amend the setup or checkout time

  • Cancel or postpone the booking for safety reasons

• Our team will contact you in advance to discuss such situations.

• No refunds will be issued for weather-related cancellations; rescheduling will be offered where possible.

7. Cancellations

Cancellations will be subject to the following policy:

• 90+ days before event: Full refund (0% cancellation fee)

• 60–90 days before event: 50% cancellation fee

• Less than 60 days before event: 100% cancellation fee (no refund)

8. Postponements

• If you need to reschedule your booking:

  • Contact Treklodge as soon as possible.

  • Rescheduling is subject to availability and may incur rate adjustments if the new date falls within a higher season.

  • Cancellation fees will apply unless otherwise agreed in writing.
